Basic Usage

At the most basic, your Google Calendar tells you what meetings you must attend. To view all meetings that you have been invited to, simply navigate to calendar.google.com.

Some basic recommendations:

  1. Sync your WATO GSuite Calendar with your computer's native calendar app, or whatever calendar app you use everyday
  2. Configure your notification settings so you get notified when your meetings are going to start: https://support.google.com/calendar/answer/37242?co=GENIE.Platform%3DDesktop&hl=en

WATonomous Team Calendar

All WATonomous events (all hands, group work sessions, division work sessions, etc...) are scheduled on the WATonomous Team Calendar, which has the email

watonomous.ca_fp1avft9tdbq6q9pofp5rd5igk@group.calendar.google.com

If you would like to view the team calendar, simply add it to your WATO GSuite Account, using its email and by following these steps: https://support.google.com/calendar/answer/37100?co=GENIE.Platform%3DDesktop&hl=en

Creating Events and Booking Resources

The more advanced thing you could want to with Google Calendar is to create events and book resources (e.g. The Bay, The Garage, the Crystal Rugged, etc...) and invite people to those events. This section contains instructions on how to do all of that!

Creating an event

As stated above, all WATonomous related events are created on the WATonomous Team Calendar. So before doing anything, read and follow the WATonomous Team Calendar section first.

Once you have subscribed to the WATonomous Team Calendar, you create an event in one of the normal ways, but make sure to select WATonomous Team Calendar as the calendar that you are creating the event in, not your personal calendar! Google's documentation about how to create an event: https://support.google.com/calendar/answer/72143?co=GENIE.Platform%3DDesktop&hl=en

Adding people to your event

An event is meaningless without people attending it! There are two ways to invite people to an event: Inviting an individual using their WATO GSuite email, or inviting a group of people using a WATO Google Group. Google's documentation about both options is here: https://support.google.com/calendar/answer/37161?co=GENIE.Platform%3DDesktop&hl=en

To view all of the people in the WATonomous GSuite Organization, use Google Contacts: https://contacts.google.com/

To view all of the WATO Google Groups, use Google Groups: https://groups.google.com/a/watonomous.ca/forum/#!forumsearch/

Booking resources for your event

Chances are that you need some of WATonomous' resources to make your event a success, and we encourage you to use them! However, before you use them, you need to check to make sure no one else wants to use them at the same time, and reserve them if not.

New resources are always been added, but some examples are:

Luckily, Google Calendar makes booking out these resources easy! Next to where you invite guests to your event, you should see a tab called "Rooms".

Using the Rooms tab, you can search for bookable WATonomous resources. By default, only available resources (one's not already reserved at the same time for another event) are shown.

To reserve the resources you need, simply click on those resources and they will be added to your event. Any resources you add with also be set in the Location of the event, so everyone knows where to show up.

Setting up "call in" for your event

By default, all events you create (which have at least one person invited) are assigned Google Meet (a.k.a. Google Hangouts) rooms links, and phone numbers that people can call to join the room via telephone if they do not have access to an internet device.
